Finalize and calculate

Usually, the financial analysis processes will only calculate the items of current files. Any finalized files will be ignored. It is very important that the items of complete sales offers, sales orders, internal production files and projects of a 'History' status type are not calculated again. The reasons for this are:

• Performing calculations is a relatively demanding process on the server. Not calculating completed files will significantly reduce the time needed to make the calculations.
• When the items of a sales offer, sales order, internal production file or project are calculated, the preliminary and actual costs are registered. When you complete and finalize a file, or assign a status of type 'History' to it, you will generally want these registered values to be retained, to allow you to consult the historical file in the future. If the items of the historical file are recalculated after that, the preliminary costing figures of the file may change, because the prices (such as calculation prices) may have risen or fallen by that time.

Remarks

The first time you use the Create financial analysis of sales files and Calculate project line items processes, the items of the historical files have not yet been calculated. To record these data, you need to perform a one-time recalculation of the items of historical files.

Once you use an Isah version that offers the Create financial analysis of sales files functionality, the items of the sales offers, sales orders and internal production files are calculated and registered when you finalize them. These processes take place:

• When you use the Finalize sales order/offer process
• When you change the status of a production file to a status of type 'History', either manually or by using the Update statuses process.
