For various processes, the Status handling tab allows you to advance the status of changed files or lines automatically after the relevant process has been executed. This way, the file or line automatically moves forward to the next phase in the business process.
Statuses may be specific to a routing; there are sales routings, purchase routings and production routings. A routing contains the route a file has to follow in Isah. Routings coordinate statuses; when routings are used, statuses are part of a routing. You can choose to make a routing mandatory. In that case, all steps of the routing have to be completed.
The contents of the Status handling tab depend on the processing form it appears on.
When using this option, use the Change sales line status to field to specify the status to be assigned to the sales line if the process applies to the sales line and the process has been executed. The Including sublines check box applies to the lines linked to a sales lines; these sublines are primarily used when a product is automatically shipped together with the product specified on the sales line. An example of such a product is an instruction manual included in the delivery of a machine. The instruction manual will then have its own sales line with the same sales line number as the machine, but with subnumber '001'.
The Quick order entry and Quick order processing forms have more status handling options than other forms. These processes allow you to automate various actions in the business process, for example the creation of a shipping note or sales invoice. The status to be assigned to the file therefore depends on the setting controlling the scope of the automatic process. For example, to set the quick order entry scope to include the creation of sales invoices, specify the status to be assigned to the file in the To sales invoice field.
It is possible to specify a status for each phase, so that these statuses are automatically assigned when you use the Quick order entry or the Quick order processing process in the future. This means that there will always be an appropriate status, even if you do not always let the order processing continue up to the same point.
Status handling - Production files
When using this option, use the Change production file status to field to specify the status to be assigned to the production file if the process applies to the production file and the process has been executed.
Use the Including underlying production files check box to indicate that also the statuses of any underlying files (internal production orders containing components of the parent production file) are to be changed to the new status.

Status handling with routing - Sales lines
If you are using routings, you may want the routings to determine the statuses after the process has executed. In cases where routings are mandatory, it is not possible to assign any status other than the next status specified in the routing. In this case, you can choose to assign 'the next status of the routing'. The option to manually specify a status is available, however, because routings do not have to be mandatory.

In the Production operations section, specify the status to be assigned to the operation lines once the process has been executed.
The values you specify on the Status handling form of the relevant process are automatically saved. The next time you start the process, the same status handling is set automatically. To be informed of this setting, select the Show status handling check box. The values set for the status handling will then be displayed as soon as you confirm the process by clicking OK. This allows you to change the status handling before you execute the process.
When changing the status of multiple files at the same time, these files may not all have the same initial status. If you select the Allow status decrease check box, all selected files will be assigned the new status, even if the files already had a higher status than the new status. If you do not select this check box, only statuses lower than the specified new status will be changed.
Status handling only if production file is complete
The Status handling only if production file is complete check box is available for processes capable of completing a production file. It allows you to ensure that only the production files completed during the process will be assigned the new status. This way, you can exclude any partial deliveries from the status handling.
An example is the Process production receipts process. To process a receipt, first create receipt lines and then indicate on these receipt lines whether the production order is complete. If it is, the production order is completed when you process the receipt lines.
Status handling only if sales line is complete
For some processes, the Status handling only if sales line is complete check box is available on the Status handling tab. An example is the Create sales invoices process. Sales invoices are based on invoice recommendations, which in turn are based on the sales lines that are to be invoiced. If a sales line is complete, it means that no more deliveries will be made for that line. As long as a sales line is not complete, there may be more deliveries and therefore more invoices in the future. If you select the Status handling only if sales line is complete check box for the status handling, the status will not be changed until the sales line the invoice is based on is complete.
Note: Statuses and routings may be protected by rights. This means that you change the statuses only if you have the appropriate rights both to the status the files or lines currently have and to the new status you want to assign to the files or lines.
