Use the Exit form when you leave work. If you choose Exit, the time registration form is displayed. You can change the details if necessary, and then log out. Your status in SFC will now be set to 'Absent'.
Time registration
Your time registration form will initially open on the current day, but you can use the date picker to select a different date up to two weeks in the past. You can now add, change or delete hour lines for the selected date.
Note: To change time registration details, you need the appropriate rights.
You can use the following options:
Click this button to add lines. You are guided through the forms. The exact path depends on whether you choose direct or indirect codes, for instance.
Your new hour lines will not be saved until you click the Save button at the bottom of the form. Also use this button to save any changes you make to existing lines.
Click this button to undo any changes.
To delete an hour line, click this button and then click to confirm the deletion.
Click Log out to exit the time registration process. If configured for your organization, a message is displayed if there are still hours be registered for the current date.
Click the date picker to display a calendar that goes back two weeks. Each date has an icon showing whether sufficient presence has been registered, and whether sufficient hours have been accounted for. The 'R' in the icons represents 'Registered', and the 'P' stands for 'Present':
If the 'R' is green, at least as many hours have been accounted for as there are presence hours for that day.
If the 'P' is green, the employee was present for the time required that day. To check whether an employee has been present for the time required, SFC will check the schedule.
A few examples of dates in the date picker:
You were not present for the time required on this date, and also insufficient hours have been accounted for.
You were not present for the time required on this date, but sufficient presence hours have been accounted for.
You were present for the time required on this date, and sufficient presence hours have been accounted for.
This field contains the time you were present on this day. The background color (red or green) shows whether the employee has been present for long enough, taking into account the schedule and any absence lines. Insufficient presence hours are accounted for by entering absence lines. SFC can be configured to open the absence registration form, where appropriate.
By default, the net time is displayed without any breaks. This is indicated by the blue color of the time shown in the field. If you click the net time once, the break time is added to it and the time is displayed in black. This is relevant if you have worked through your break and you want to account for this time.
This field contains the total net time the employee has accounted for on this day. The background color (red or green) shows whether it is sufficient, considering the presence hours.
If insufficient hours are accounted for, you may not be able to use the Log out button, depending on the SFC settings. The button may be disabled, or SFC may ask you to confirm that you want to log out, despite the fact that not enough hours have been accounted for.
If the Log out button is not available, you can make it available only by making sure enough hours are accounted for.
Registering absence
To register absence, click this button to open the absence form. Now enter one or more absence lines to account for your absence during the time you should have been present according to the schedule.
Click this button to choose from the possible reasons for your absence.
The absence form may also be displayed if you click the Log out button while insufficient hours have been accounted for. This behavior depends on your system settings. If the form is displayed, you need to specify the reason for your absence before you can log out.
