Use the Preventive maintenance form to specify or view the type of maintenance to be performed on an object and when. Examples are:
Regular service
Environmental or other tests
Checks and inspections
Each line on this form corresponds to one activity to be performed on a specific object on a particular date. The preventive maintenance schedule gives you an insight into the employee capacity required in the future. This information will help you match your service organization to your customers' demands.
For each object that is linked to a contract version, you can set up a schedule for preventive maintenance work. Each of the lines in the schedule has a plan date. For each preventive maintenance line, you can record a price and the part you want to use for the sales line in the service order.
If you outsource the preventive maintenance work, you can also register the supplier. When you create a sales line, the supplier will be copied if you have specified in the order code of the part that you are purchasing the part. You can use the purchase requirements to create a link to the Purchase module in order to 'purchase' the service from your supplier.
Creating service orders
The preventive maintenance specified on the Preventive maintenance form can be converted into service orders for preventive maintenance using the Create orders from preventive maintenance process.
Auto-generating preventive maintenance schedules
Preventive maintenance schedules can also be created automatically. This functionality uses flexible search paths, as a result of which preventive maintenance lines are created automatically based on a number of variables.
The fields you want to have filled on each preventive maintenance line during this process, and the values to be used, are included in the flexible search paths for preventive maintenance. This allows you to make preventive maintenance dependent on the part, the object type, or the age of the object, for example. You can use these flexible search paths to determine both the frequency and the pricing of preventive maintenance (flexible search paths 5 and 6).
In flexible search path 5, specify the different service types with their frequency on an annual basis. In flexible search path 6, specify the other data related to preventive maintenance. When specifying the part, you can specify the components to be used and the operations to be performed for the combination of the object and the service type. It is possible, for instance, that machine X and machine Y need different components for 'Major service'.
This check box is selected if the preventive maintenance line has been approved for further processing. This means that a service order can be created for this line.
In addition, you can configure the software to always select the Authorization check box. To do so, select the Preventive maintenance authorization check box on the Service tab of the Default values form.
This field shows the unit the sales price applies to. You can choose from:
Unit: This is the unit set on the General tab of the Parts form.
Weight: Kilograms
Surface area: Square meters
Sales unit: This value is freely definable.
Once you have confirmed your choice, the calculation unit will be displayed in the Per field to the right of the net sales price.
In the Calculation quantity field, specify the number of calculation units to which the price applies. To specify a price per 100 kg, for example, choose 'Weight' in the Calculation unit field, and then enter '100' in the Calculation quantity field.
When preventive maintenance is invoiced in periods, enter the sum for the preventive maintenance line in this field. The sum will now automatically be copied to the invoicing schedule at the time the contract calculation is performed and the invoicing schedule is created.
If a service order has already been created for the preventive maintenance, this field shows the line number of the sales line that contains the preventive maintenance to be carried out. The number may be followed by the subline number.
The status identifies the stage of the service notification, for example 'Dealt with' for notifications that have been resolved. When creating service orders from service notifications, you can specify that orders should be created only from service notifications that have a particular status or higher.
This field shows the part that is used when creating the sales line or subline for preventive maintenance if the other part field is left blank. The part in the current field is copied from the Service tab of the Default values form.
If you want to outsource the preventive maintenance, use this field to specify the part you want to purchase for each preventive maintenance line. This part will be a part with the 'Purchase' order code.
If you outsource the preventive maintenance, use this field to specify the supplier from whom you purchase the maintenance. Depending on the order code of the part, the supplier will automatically be copied to the service order line.
