Calculating project items

You can link various data to a project line, including data from sales offers, sales orders and production files. You can create top-level links (for example, to link a project line to a sales order), but also detailed links (for instance, to link a project line to a shipping schedule line, periodic invoice line, production operation, or purchase line). If you use this link, the costs and revenues from the linked lines are important for the project.

To be able to see the costs and revenues of a project, these data must be calculated first. To calculate these data, use the Calculate project line items process. The exact data calculated depend on the types of project links and the selection you make on the processing form.

In addition to the links above, you can add plan groups to project lines, allowing you to make a rough calculation consisting of various costs and turnover categories. Also plan groups may have costs and revenues you want to include when calculating project data; these costs and revenues will be taken into account in the Calculate project line items process.

This folder contains explanations of the different types of links available and the data calculated for these links.

The following is true in most cases:

• The items of the underlying structure of the linked line are always calculated if the linked line type is one of the following:
  • A sales offer or sales order
  • A sales line
  • A production file
  • A production part (if it has underlying internal production files).
• Only the items of the individual linked line are calculated if the linked line is of one of the following types (unless you configure the process to calculate all structure items by selecting Recalculate current linked sales files):
  • A periodic invoice line
  • A production part (if there is no underlying structure)
  • A production operation
  • Production equipment
  • A production line for an external operation.
• For the other links, no costs, units or estimates are calculated:
  • A shipping schedule line
  • A purchase line for a part
  • A purchase line for an external operation
  • A purchase line for equipment
  • A receipt schedule line
  • A sales invoice line.
